SERVIES MANAGEMENT MEETING

1. Personnel “Chain of Command” – Donna Johnson had some questions about chain of command and also the appropriate place to discuss personnel issues. If seems there has been talk at the center regarding personnel issues by management that was not appropriate.
2. Definition of formal and informal disciplinary action– Donna Johnson wanted the terms clarified for her as outlined in the new hire packets. Donna felt the disciplinary action that took place at her center was not handled as outline in the policy manual. She felt the informal was left out of the loop. Each new employee should be given a new hire packet and their supervisor should go over the packet with them. Each center should have a copy for the center so the LCT’s can look it over. Joan to make sure every center has a copy.
3. More Hours for Mia – Donna J asked about more hours for Mia to complete the computer work for State and the enrollments for Shaws Flat. Roz is doing a time study on attendance data entry. She indicated that the FA’s really need quiet time for this. Roz wants Mia to sit down without interruption and do the entry for 5 people and let us know how long it takes and get back to her by Wednesday, October 29th. Linda reaffirm that vacation time for FA’s in September- October will not be permitted since this is our busy time and many deadlines need to be met.
4. Food Transportation to Shaws Flat – Wendy Mangrum is picking up meals from TGH & dropping off SF the going to JT. This time takes away from her floor time with the children. It was suggested that Mary G. could do the run. Linda wants to see a schedule of Wendy’s hours, what time she leaves the center, her return, time in kitchen, and class time before we give more hours to anyone.
5. Myth “Reality” – Linda spoke to the rumors of staff changes, talk from people who have been left go saying you’re next. If your job performance does not measure up there is a lot of interaction before anything happens. You will be given every opportunity to turn your performance around. We are all being stretched! We have a lot of good things happening which will stretched all of us and we know you are up to the challenge.
6. ATCAA Annual Audit – We had 3 state form findings,
these are the same as last year on the enrollment papers for the State. The
state requirements are very detailed. Roz & Debbie Johnson are working very
hard to train the FA’s and LCT’s on what documents are needed. In JK the LCT
has to sign off on the files. Roz will be looking at the forms in
7. CCFP – Monica spoke to the issue of meals being ordered are not enough, the centers must order meals for every child enrolled unless you know for a fact they will not be attending that day. It is imperative to order correctly.
8. Licensing – Marcie indicated state licensing will be making a visit to your site make yourself available! Keep a copy of their form and give one to her
9. Family Advocate Update – Roz reported that Teresa
Mendoza was hired for the FA position at Twain Harte, she also works for
10. HATCH – Lee said we were awarded the start line grant that will give us 12 new Hatch units with tables. We will realize $20,000 in in-kind. The big question is where are we going to place them? TH’s is broken and some centers want 2, other center do not. Some machines could be used as parent machines. Please consider your options and let Lee know what you want. Last years training was minimal and no one has integrated that training. There are 3 levels of training: 10 basic; 2) lesson plan integration; 3) curriculum integration.
11. Shaws Flat Parking– Melanie asked the staff to park outside the fence. You can come in for loading and unloading but this is a fire lane and parking is not permitted. You can park on the far side of the green gate. There is a need for handicap parking space. School road is a one-way road, however, there is nothing to indicate this. The playground situation came up the dirt is very bad and Melanie is washing the kids clothes there at the center. The will be delivering cedar mulch today for testing. It appears there is no funding for the playground. TCOE will be applying for a First 5 grant to do the playground in March 2004.
12. Twain Harte – Jane wanted to know about the playground at the TH center the dust is causing sickness to the children, parents and teachers. Marcie has been having trouble with the supplier. It appears step #1 the tricycle path and ground cover will be done soon, the second part will take longer because of suppliers.
Teachers, did open hire and have 3 people on staff who qualify Judy, Tammy and Bethany this all takes time.
Jane is having trouble keeping her hours down. One thing they are trying to do is not make a lot of changes in staff as it disrupts the kids.
Jane asked about a larger refrigerator since the food service staff at the school is not able to share space in their refrigerator. Concern about a larger refrigerator in the classroom, as long as we meet Title 22 regs., the environment health has nothing to say. What about an apartment size? Monica to researching for another refrigerator. Over crowded classroom would another outside shed help and can we do that.
13. Staffing – Marcie wanted to thank the staff for being flexible. Donna asked wanted to know when she would have a CA on staff, Lisa is working on this. Cathy had heard we lost 4 staff is that so. We have had 3 staff leave in the last few weeks and we are going for open hire. Jane is probationary LCT as of today at TH.
14. Playgrounds – Lot of discussion on what type of ground cover should be used on the playgrounds. Charity will stop at ICES and see what they have on their playground. Still a concern at TH with the mountain lions, would a taller fence on that side of the playground be of value? Marcie has called fish and game but has not made contact with a person.
15. Other issues – Concern still about Summerville not being tied into the school firs alarm. Shaws Flat will have outside water today.
16. GOOD NEWS–
